B2B attends 2012 Techbridge Digital Ball

On Saturday, May 5th, B2B attended the annual Digital Ball hosted by Techbridge, an organization focused on helping non-profits gain access to IT services for a significantly lower cost. Although Techbridge usually provides the services to these non-profits, it is donations like those given at the Digital Ball that allow Techbridge to fund and provide the program at such a low cost. Through our involvement with Techbridge for the past several years, we have had the opportunity to share our resources and expertise to help local non-profits improve their business processes.

6 Tips for Marketing Your SharePoint Site

The launch of a new portal is an exciting time for an organization with hopes of fast adoption for your user base, whether you are focusing on students, faculty, staff or community relations. From our experience, the implementation group is usually the most passionate about this new technology offered and it can be difficult to spread that enthusiasm to the end users. This is could be because they had no idea the change was coming, they like the "old" way or they just can't imagine what value the portal will give them. To help you get your audience engaged and using the new SharePoint site, we've put together some tips that will help with usability, awareness and adoption.

 

1. Develop FAQ Beforehand

One of the biggest hurdles for new users is understanding the Microsoft SharePoint platform. There can be several, if not hundreds of questions that can tie up your IT team's time and budget, preventing a successful launch. Before your site is launched, take some time to write down all of the questions that a user may have. If SharePoint is second nature to you, then sit down with first timers and see how they maneuver through the program. Write down every question they have and you'll soon understand how they see things. Are they more focused on creating their My Site? Do they want to know where to access documents? What are some key applications they use daily? Once you have an extensive list of FAQs developed, make sure they can be reached from the homepage of the new site. Encourage new users to bookmark this page so your IT team will experience fewer help calls and empower the user to find the solution on their own.

 

 

2. Hold Training Workshops

If you're dealing with an introduction of SharePoint to a group that has never used a portal, such as college freshman, it may be wise to hold a training workshop. This can be done in person, or virtually via a webcast. Going back to the college freshman idea, holding them hostage during orientation would be a great way to capture their attention (just kidding on the hostage part). But seriously, holding a series of webcasts that are coordinated through counselors, department heads, etc. would be a fantastic way of getting the word out and demonstrating how useful this new tools is for them. Taking it a step further, running a webcast focused toward faculty on submitting grades, uploading tests and creating homework assignments could be the first part in getting your faculty on board as well. This content could then be recorded and stored online in a resource center for new faculty, students and staff to refer back to.

 

 

3. Good Ole' Marketing

We know, this sounds redundant. However, follow through on this idea for just a second. So you've created this amazing, game-changing portal that can be used a thousand different ways to disseminate information, pull together your audiences and make their world a better place. Next question is: How are they going to know it exists if you don't capture their attention? This could entail outdoor advertising, direct mail, email marketing, press releases and social media. There's a lot to be done in a successful campaign and we suggest working with your marketing department to see what resources are available and put together a communication plan. Be aware that a good plan can have a six month lead time, so start talking with them well before your intended launch date. If you don't have a marketing department to handle this type of need, the consulting firm handling your implementation should be able to point you in the right direction or discuss further consulting services.

 

4. Create Incentives

Now that your end users are aware of the new tool, have been through training and see how it can radically improve their life, you're still stumped as to why they don't use it on a regular basis. People need a little push to stay consistent with new technologies until they become habit. A great way of keeping them engaged is to create an incentive program. For example, send them on a virtual treasure hunt. Put together a road map, give them assignments (click paths, completed actions, etc.), and lead them to a prize. If your organization allows, the winning prize could be the first one there gets a $100 gift card to the spirit store or a free ticket to the next football game. The prize doesn't have to be grandiose, but they want to be thanked for participating. So, thank them and revel in the fact that you got them to achieve the feat of getting through a specific task such as scheduling a new event, creating a project site or using the search feature accurately.

 

5. Get Social

We are social beings. Microsoft realized how important this aspect is to those who work or study together on a daily basis and created My Site in SharePoint 2010. Everyone now has a fantastic way of staying connected and remaining productive all in one place. Users are able to setup a customized profile page, create status updates and store their personal documents in one location. To top it off, you can even brand the site with your organization's logo, color scheme, etc. and create an extension for your audience to enjoy being a Georgia Bulldog or a Florida Gator, for example.

 

 

6. Develop a Governance Plan

Setting up a Governance Plan has a few benefits to the organization as well. First, you can be sure the new intranet that your team worked so hard to implement will continue to function smoothly and the way it was meant to. It also provides a chance to gain buy-in from various departments within your organization. It always makes sense to interview future users in order to find out pain points that SharePoint may be able to solve.  Highlighting that you heard them and you created a solution always seems to go a long way.  A high visibility pilot group is useful as well since SharePoint adoption can be a viral process in large organizations, and user adoption can often come from someone seeing what another group has and begins to use it for their group.

We've shared the story of Roslyn's new SharePoint site with you before, but this past week we had the chance to work with Microsoft and present a webinar on the topic. We were joined by Roslyn Public Schools' Superintendent, Dr. Daniel Brenner, their Chief Technology Officer, Jason Lopez and their Director of Community Relations, Barry Edelson. The three representatives from Roslyn discussed the needs they had to develop a public facing site that would bring together their staff, parents and students to further community involvement and communication. This webcast also shares insight into the forethought that took place to create a successful site and other aspects to consider before taking on such an important project.

Roslyn Union Free School District, situated roughly 20 miles from Manhattan, is proud of its heritage and record of meeting or exceeding New York State standards and, more importantly, expectations of the community it serves on Long Island's north shore. In 2010 and 2011, Roslyn Schools, began work on developing a new web experience for parents and students which would provide ready secure access to student information such as attendance records, schedules and report cards. The team recognized that a professional design which embodied the districts' commitment to achievement and the community were equally as important as functionality to encourage use by parents and students. SharePoint 2010 was selected given it's extensibility in both function and form. Based on previous experience designing SharePoint websites in K-12, B2B Technologies was chosen as a partner for the project.

Planning a Migration from Notes to SharePoint

Many companies are discovering the added benefits of SharePoint 2010, such as improved search queries, managed metadata, Microsoft Office Integration, cloud compatibility, you name it. For organizations using Lotus Notes, the thought of migration can be daunting to say the least. B2B Technologies has been working with Post Properties over the past year to develop their SharePoint portal, with the first hurdle of their Notes migration being completed within the first month. While this project falls within a long-term scope, the benefits of the initial Notes migration has been exponential as their team increases productivity and collaborative efforts across multiple locations.

Background: Post Properties  was using file shares and over 200 Lotus Notes Databases to support communication and collaboration both company-wide and within work teams.  The Lotus Notes Databases were not developed in a strategic manner and therefore lacked a consistent user interface and robust search capabilities.  A new intranet powered by Microsoft SharePoint Server 2010 was chosen to replace the Lotus Notes Databases in order to provide flexible and dynamic content structures that allow content to be created through a common user interface and organized and displayed in many different ways.  However, Post Properties was concerned about the cost to migrate 200 databases into SharePoint, assuming that a tool like Migration Manager from Quest Software would be required.

Solution: To plan the migration, B2B Technologies recommended an inventory of all 200 databases.  For each database, we included a brief functional description, and a screenshot.  When B2B reviewed each database with Post Properties, it was discovered that only 6 of the 200 databases were supporting critical business processes and needed to be migrated to SharePoint.  This eliminated the licensing cost of a migration tool, as the migration could be performed manually.

The next step in planning the migration was to determine how the functionality of a Notes database could be implemented in SharePoint 2010.  B2B Technologies designed 6 SharePoint composite applications that utilized custom content types, managed metadata, and custom list templates to replicate the functionality of the Notes databases without writing any code.

Added Value: B2B Technologies was able to add new functionality because of the advantages of the SharePoint platform.  Using content query web parts, the new intranet presents information in different ways for inter and intra-department collaboration, allowing employees at all levels to find the information needed to perform their tasks.

Microsoft Cloud Security

Cloud SecurityAs more and more organizations are contemplating their move to the cloud, the issue of security is often the area where a lot of anxiety arises. This is the case for Small to Medium businesses through Enterprise level companies in every sector. As business professionals, we all see the need to have our data kept secure and at our fingertips at all times. Microsoft has taken extra measures to make sure that security and reliability are covered in everything they do. This article will highlight the industry standards that Microsoft Cloud meets and how they are a fit for any industry, including those with specialized data requirements such as financial, medical or educational institutions. Microsoft bases their Office 365 Security on four guiding principles – Customer Privacy, Transparent Leadership, Independent Verification, and Top-Quality Security Practices.

Customer Privacy: Microsoft does not use data from Office 365 to build advertising products.  They will not scan data or email for data mining purposes.  Your Office 365 data is not co-mingled with consumer services.  And, you retain full ownership of your data.  You may remove or copy it outside Office 365 at any time.

Transparent Leadership:  Microsoft maintains data centers throughout the world.  They openly provide you information on the location of your data, as well as, the formula used to determine data location. Any data location changes are provided to customers in a timely fashion.  Microsoft maintains strict policies on data access which they also make available to their customers.

Independent Verification:  Independent agencies and auditors verify compliance with industry standards.  Microsoft has the following certifications/accreditations:

o    SAS 70 /SSAE 16 – Statement on Auditing Standards No.70/Statement on Standards for Attestation Engagements No.16

o    ISO 27001 – certification on Information Security Management Systems (ISMS), based on the ISO 27002 Information Security Standards.

o    EU Safe Harbor – certification that ensures personal data transferred from the EU to non-member states comply with the appropriate data protection safeguards and practices.

o    HIPAA – The Health Insurance Portability and Accountability Act governs the use, disclosure and safeguarding of protected health information.  Microsoft is one of the first companies to offer a HIPAA business associate agreement (“BAA”) for cloud-based services.  A BAA ensures mutual responsibility for protecting the privacy of health data between Microsoft and Office 365 customers in the health care industry such as hospitals and medical schools. 

 

Cutting Edge Security Practices:  Microsoft’s data centers are built to the highest levels of physical security.  Physical access is granted on an individual basis and is based on job function.  Personnel are given only minimal required access.  Physical access is controlled through multiple security layers and devices, including badges, smartcards, biometric scanners, on-premise security guards, video surveillance, and multi-factor authentication.  In addition, system redundancy, climate control, and continuous monitoring are built into each data center.

Regulatory Compliance in Education:  The Office 365 Security and Privacy principles outlined above are especially critical in education.  To ensure student security and privacy, schools, colleges and universities face regulatory requirements unique to education:

o    FERPA – the Family Educational Rights and Privacy Act protects the privacy of student educational records and applies to schools that receive funds from the U.S. Department of Education.  Office 365 includes specific controls and capabilities to help schools comply with the privacy requirements of FERPA and HIPAA.

o    COPPA - the Children's Online Privacy Protection Act regulates the collection of personal identifiable information about children under the age of 13 by websites or services accessed through the school’s Internet connection.  Office 365 mailbox policies, which exclude student data from the global address book, and the ability to restrict email to the school’s domain are examples of Office 365 features that support COPPA compliance.

o    CIPA - the Children’s Internet Protection Act requires that schools which receive E-rate funding related to internet access restrict access to offensive or harmful content from school computers.  Advanced anti-virus and anti-malware plus email filtering based on objectionable words provide schools with some of the tools needed to protect the students in their care.

SharePoint based Course Catalog for the University of Florida
In late 2010, B2B Technologies collaborated with the University of Florida to implement a Microsoft SharePoint based Course Catalog solution.  The University wanted to streamline the process for maintaining and updating course catalog content while providing an enhanced user experience for students and faculty.  SharePoint's rich content management and workflow capabilities provided the perfect platform.
 
Recognizing that the solution might be relevant for other institutions, Microsoft hosted a webcast last week showcasing the UF Course Catalog system.  During the webcast, we sat down with Vicki Clifford, the project manager at the University of Florida, to discuss development of the course catalog and demonstrate the complete solution which is currently in use for the second year in a row.  The webcast drew over 80 attendees from colleges and universities around the nation.  We were thrilled by the level of interest and were grateful for the opportunity to share the great work that was accomplished by the teams at UF and B2B.  We are extremely proud of our partnership with the University of Florida and the resulting Course Catalog system.

B2B and AvePoint host MOSSmosis event at Microsoft Store
This morning, B2B and AvePoint headed over to the Microsoft Store at Lenox Mall for a discussion on SharePoint Governance. We kicked off the event with breakfast and networking and then jumped right in to presentations.
 
Matt Tinkler, Co-founder and CIO at B2B discussed standards and policies, appropriate access and permissions, monitoring and automating as well as other topics of interest regarding SharePoint governance. The full presentation that Matt gave can be found here.

Re-facing Your SharePoint Site
Roslyn Public Schools is excited to launch a new SharePoint 2010 website for parents, students and staff to share information about the district and its five schools.  Further, the website serves as a first impression for prospective parents: therefore, a crisp, attractive appearance is critical.  Previously, the look and feel of the site was not considered sufficient, so Roslyn engaged B2B Technologies to quickly improve their site to look like a professionally-designed brochure. 
 
As with every site re-design, the engagement team began with a discovery session in which B2B and Roslyn discussed the design and communication goals for the site.  The new site was created to be a go-to resource for students, families and parents; primarily giving each audience their own portal to access information about school events, class forms, etc.  B2B presented a collection of graphical design concepts to Roslyn to determine their likes and dislikes.  Based on the knowledge gathered in the discovery session, B2B produced a digital sketch of the design framework that addressed Roslyn's goals and earned positive feedback from their stakeholders.

Includes special portals designed for each audience: students, parents, staff and the community.  This allows each group to get news that is tailored just for them; whether students are looking for grades or parents are looking for forms, everything is in one easy to access site. 
  
The next step of the engagement was to create three graphical design comps representing three key pages in the SharePoint site.  Roslyn selected the district landing page, a school landing page and the parent portal landing page as candidates for the comps.  B2B also advised Roslyn on how to restructure their taxonomy so that the site would be organized consistently with the navigation presented in the design comps.
 
The final step of the engagement was to implement the design comps into SharePoint.  B2B built two custom master pages and four custom layout pages to implement the design.  Two master pages were needed to ensure that Roslyn's custom application pages would inherit the new look and feel.  The variety of layout pages gave Roslyn's Webmaster the flexibility to create content with multiple arrangement options.
 
Roslyn's stakeholders were impressed with both the quality of the redesign of their site as well as the speed in which B2B could implement it.  The result is a professionally designed SharePoint website that conveys the right image to all visitors.

Using SharePoint for Classroom Websites

SharePoint 2010 addresses many of the needs for instructional technology, and one of the most popular uses is for classroom websites.  Teachers need to connect and share information with students and parents, and with increasing emphasis on cooperative learning, students require effective tools for working together.  This article outlines a few of the ways SharePoint helps educators and students work more efficiently and enjoy more engaging learning experiences.

 

Simplifying Communication with Students and Parents

Classrooms are dynamic environments, and keeping students and parents informed is a basic but often arduous task for teachers.  SharePoint offers a number of easy and effective tools to help maintain a steady stream of important information.  Using a simple form, teachers can post a quick reminder to an Announcement List about permission slips that need signed, upcoming due dates, or even current news items relevant to recent lessons.  SharePoint Calendars help students stay on top of their work and provide parents insight into upcoming projects or exams.  And since project outlines, lesson plans, and other classroom resources can be share in Document Libraries, parents no longer need to ask what their child did in school that day; they already know!

Of course, the way people consume information and stay connected is constantly changing.  Logging onto a website may not always be convenient given the fast-paced lifestyles of today’s students and parents.  SharePoint 2010 automatically provides mobile views of the classroom site, so announcements, calendars, documents, and other content can be viewed from a smartphone or tablet. Users can even subscribe to alerts delivered as email or text messages.  For the super cyber savvy, every list in SharePoint can be consumed as an RSS feed.  This means that students can keep an always up-to-date list of assignments and due dates in a desktop gadget or on their phones.  Teachers publish information once, using a simple form, and SharePoint ensures it reaches the target audience across multiple platforms and devices:  Windows, Macs, Firefox, Safari, iPads, Android devices, and many others. Assignment Drop Boxes and Differentiated Learning

Online assignment submission is becoming standard in higher education and is a growing trend in K-12.  Students love the efficiency of online submission, and teachers appreciate that assignments can be collected without using valuable class time.  This also means teachers can grade assignments anywhere without lugging around a crate of papers.

Cooperative Learning

Communication and collaboration among students is a core tenant of 21st Century Learning.  Educators have embraced this approach and emphasize project based and problem based assignments to facilitate cooperative learning.  SharePoint’s powerful collaboration capabilities help students work together in efficient yet engaging and meaningful ways.    

SharePoint Discussion Boards offer a familiar forum environment which encourages deliberation among students.  Built-in Wiki sites and Blogs afford opportunities for students to share, learn from, build upon each other’s ideas, and ultimately work together to create a dynamic collection of knowledge related to class concepts.

One of the most exciting additions to SharePoint 2010 is the inclusion of Microsoft’s Office Web Apps.  These web-based companion versions of Word, PowerPoint, Excel, and OneNote are a component of SharePoint Document Libraries and allow users to view, edit, and share documents directly within the browser.  Since the Microsoft Office client applications are not required, students have the freedom to work from any internet enabled computer.

The Office Web Apps are especially valuable for group based work.  An entire class could record lab results in the same file at the same time using the Excel Web App.   Students working on a research project can capture notes in shared OneNote section even if one student is using a browser on a shared library PC while another is working at home on a netbook with the OneNote desktop client.  They would even see each other’s notes as they are captured.  Since the author and date are tracked, the teacher can view and evaluate each student’s contribution to co-authored documents.

These are just a few of the many benefits that a SharePoint based class site can provide.  Some colleges and universities are using SharePoint to offer e-portfolios for their students – allowing students to reflect on their learning experiences while building a personalized collection of their best work to share with potential employers.  School districts are using SharePoint to facilitate collaboration among teachers located at different schools to create shared learning materials.  The value of SharePoint is its flexibility to address the variety of ways people want to share information.
